Booking terms

1The performance

• One performance per booking: a live music set, a DJ set, a fire poi show, or a VRChat live show, as chosen when you book.
• VRChat shows: you provide the VRChat world and instance (or an invite) and the schedule; we hold a short technical check before the show. If the show is interrupted by a VRChat outage or a connection problem on our side, we agree a new time; if the problem is on your side, the fee still applies.
• Set length, start time, schedule and setup are agreed with you before the event. Tell us what you'd like when you book.
• For live music and DJ sets: the venue provides standard power near the performance area. If the venue has no sound system, tell us when you book and we'll plan one with you (any rental is quoted separately).

2Price and travel

• Performance fee: $5,000 (US dollars); $2,500 for a VRChat live show.
• Driving: $1 per mile for the round trip from Wolverine, Michigan to your venue and back, measured by road distance when you book. This covers all driving costs.
• Flying: you pay the actual cost of round-trip airfare, lodging for the nights needed, and a rental car. We book them once your date is reserved and add them to the balance. Receipts are available on request.
• If the venue address changes after booking, the travel cost is recalculated.

3Deposit and balance

• A 50% deposit of the performance fee and driving cost is paid online when you book, through Stripe's secure checkout. Your date is reserved once it is paid.
• The balance (the other 50%, plus airfare, lodging and car rental if flying) is due 14 days before the event. We email you a secure payment link.
• If the balance isn't paid by then, we may cancel the booking under section 4.
• Online booking needs at least 14 days' notice. For sooner dates, email booking@ignisinitium.com.

4If you cancel or change the date

• Travel costs we haven't spent yet (for example, a refundable flight or hotel) are refunded.
• Changing the date: you can move your booking once, to a date we're available within 12 months, if you ask more than 14 days before the event. Your deposit carries over.
• To cancel or change, email booking@ignisinitium.com with your booking number (it starts with G-).

5If we cancel

If we have to cancel for any reason on our side, such as illness or an emergency, you get a full refund of everything you've paid, or, if you prefer, a new date. We'll always try to give as much notice as possible.

If the event can't go ahead because of severe weather, a natural disaster or another event outside anyone's control, we'll work with you to find a new date within 12 months, and your payments carry over.

6Fire poi safety

• You confirm the venue allows open flame, and get any permits or permission the venue or local fire authority requires.
• We need a clear, level performance area of at least 20 × 20 feet, away from overhead obstacles and flammable decorations, usually outdoors. The audience must stay back at the distance we set.
• For everyone's safety, the performer may delay, shorten or stop the fire show if conditions are unsafe (high wind, rain, crowding). If fire isn't possible on the day for reasons outside our control, we'll offer a DJ or live music set instead. The fee still applies.

7Photos, video and recordings

You and your guests are welcome to take photos and video for personal use and to share on personal social media. Professional or commercial recording, livestreaming or broadcasting needs our written OK. We may take photos or short clips at the event for our own promotion.

8Questions

Email booking@ignisinitium.com. These terms may be updated for future bookings. The version you agreed to when you paid the deposit is the one that applies to your event.
